The GDPR and your events

idloom has always highly valued data privacy and confidentiality, especially when it comes to personal data.  

On May 25th, 2018 the EU General Data Protection Regulation comes into force. This Regulation strengthens data protection laws applicable to EU companies and more generally when data from European citizens is collected. 

As a European company, idloom is eager to comply with this new Regulation and to support our customers in the changes that it involves in the management of events. We are therefore obliged to make changes to the data protection terms of our Terms of use (the updated version of these Terms is available here).

It is important to note that we have decided that clients from all around the world will benefit from this improved protection.

As a service provider, idloom is also willing to guarantee that the organization of your future events will comply with these new requirements. Indeed, when organizing events in EU or for EU residents, your company also has to comply with GDPR.

In a nutshell :

  • There is no change to make in the type of information you ask registrants, as long as it is strictly necessary for the organization of your event (name, invoice address, company name…). The privacy policy just needs to be more specific about how long you keep the data, whether or not you have a data protection officer, etc.
  • Things become trickier when (at first glance) data not directly related to the organization of your event is collected. In this case, you have to be able to demonstrate why you collected this data.
  • When necessary data are used to achieve another purpose than the sole organization of the event, you have to inform subscribers about it. Although your own marketing does not require any specific consent,  if this information is used for marketing actions of third parties you are required to explain how the data will be treated.

This is why, when setting up your event, we propose a (rather short) model of privacy policy to validate when registering for your events. You can of course customize it to better align with your needs or the specificities of the use you intend to make of the collected data.

In the same spirit, idloom provides you with valuable information when creating a registration form as to what can and what cannot be asked to EU registrants.
